About:

Geo Tracks Adventures are a series of small-scale runs or bike ride where the participant completes a GPX course to post a time on the course leader board.

The Geo Tracks team is passionate about adventure and finding new trails to run and cycle on. The concept is simple. We find, test, and map a course, turn this into a GPX file and upload it into our Geo Tracks GPS live tracking system. Participants then follow the GPX course and are tracked whilst doing so. Times and GPS traces are then posted on a leaderboard.

Our GPS trackers are issued (by post or at the start) to participants who are tracked via our live tracking URL link or smartphone app whilst taking part on the course. Friends, family, and other participants can all check in on the progress as runners or riders make their way around the course.

Typically there is a one-hour start window on a set date and navigation is via the participant’s own device with the GPX course preloaded and the Geo Tracks GPS app as a confirmation. Participants are to self navigate and be self-supported. If however, you wish to undertake the course at a date/time to suit your self then not a problem, just arrange this with the team at adventrue@geotracks.co.uk

Once completed participants’ times are posted on the same live view tracking link for comparison and for GPS trace playback. The playback is a great feature for replaying all the participant’s GPS traces at the same time from a zeroed start.

Geo Tracks Adventures are a challenging day out for fitness lovers exploring the great outdoors.

The course is typically a marathon distance (42km) on trails for a run or 100 KM for a road bike.

General notes:

  • You are hiring the GPS tracker from Geo Tracks, There is no actual fee for taking part on the course

  • You will be emailed a confirmation of booking and then a further information email about the specific course, timings, and any other relevant information

Course Navigation:

  • Correct navigation of the course(s) is the participant's responsibility

  • It is highly recommended that the participant uses an electronic navigation device with the appropriate GPX file uploaded to the device (such as a GPS watch). GPX files can be downloaded from the appropriate course information webpage

  • Participants can also use a map (with the course marked on it) and compass to navigate the course

  • The Geo Tracks app has been specifically developed as an aid to navigation and works in conjunction with the GPS trackers. The app is to assist with navigation and is not intended as a primary means. To download the app please visit the apple store here

  • The ‘Live GPS tracking page’ can also be used with your smartphone as an aid to navigating the course. Details of this page are on the specific course information webpage and emailed to each participant

  • There is no specific physical course signage provided by Geo Tracks

  • All courses have been tried and tested and are relatively easy to navigate and are often well know routes with signage

  • Participants will be emailed an ‘Instructions’ email which will include more information on the specific course

  • Participants should conduct a study of course online before attempting


Booking your GPS tracker:

  • Participants must pre-book GPS Tracker hire via the relevant web information page

  • Participants will be given a start time as part of the booking process and should aim to start as near as possible to this time

  • Start times are published on the ‘Live tracking page’. Participants are to check their start time here. The page will be linked from the Votwo Events event web page and updated every week

The start process:

  • Please adhere to your allocated start time as closely as possible. If you need to change your time then email adventure@geotracks.co.uk

  • Only arrive at the start a few minutes before your start time

  • If your GPS tracker was posted to you (you will have emailed a notification and the course information page will state if trackers are posted out or collected at the start) then turn your tracker on when you arrive at the start area. Please click here for details on how to turn your tracker on and check its working

  • If GPS trackers are collected from the start then will then they will be issued turned on and ready to go

  • The actual start is denoted by a virtual start flag on the live tracking page and will be positioned 50 meters down the course away from the pick up / drop off point. Once your tracker moves through the start geofence your time will start

The finish process:

  • The finish flag is virtual and shown on the live view tracking map

  • Once your GPS tracker moves into the finish geofence your time will stop and your tracking icon will disappear from the live tracking page

  • Please either drop your tracker off with the Geo Tracks staff or if pre-arranged post it back to Geo Tracks

The live tracking page:

This is the information hub of the event. The link opens a full-screen tracking map in either your laptop or mobile device. The link displays the following information:

  • Start times, names and ‘bib numbers’. These are shown when the appropriate ‘pull out’ is clicked

  • The course map. The route to follow is denoted as a red line with small arrows showing the direction of travel

  • Checkpoint flags. These are virtual flags denoting either a physical aid station on the ground or a distance marker

  • Start and finish flags. These are virtual and denote the physical location of the start and finish

  • Your tracking icon. Your icon denotes the GPS tracker’s location to an accuracy of +/- 5 meters. It is a tear-dropped shape with your bib number below it. Tracking icons will appear on the live view tracking link when the tracker is switched on. You can click on the icon to see more information on the participant

  • The other participants tracking icons. All participants tracking icons are visible to any person looking at the live view tracking page

  • Start times. On the live tracking page there is ‘pull out’ showing a list of starters names, bib numbers and allocated start times

  • Search bar. Enter the participants bib number or name to easily search their location on the course

  • Results. Once a participants tracker has passed through the finish geofence then their overall time and split times between checkpoints is published in the results pull out tab

Results and GPS Trace Playback:

  • Once the participants GPS tracker has passed through the finish their results will be published on the ‘Results’ tab on the ‘Live tracking page’

  • Results will be listed in time taken to complete the course order

  • Split times between KM marker flags will be shown

  • Participants that have completed the course more than once will be shown with the same name and by bib number that was allocated for each instance of their participation 

  • The arrow icon next to a participants name can be clicked, followed by clicking ‘map’ which then show the GPS trace playback screen

  • More than one participant can be selected

  • All times are zeroed so that GPS traces can be played back and performance compared in real-time

Car parking:

  • There is no specific car parking arraigned unless otherwise stated

  • The GPS tracker pick-up / drop-off point will always be located within a reasonable distance of car parking. Please adhere to any car parking rules

Kit List:

This is the recommended kit list to be carried on your person whilst participating on the course. This is to compliment you wearing the appropriate clothing for the weather conditions. Kit should be waterproofed within a running pack.

  1. Fully charged working mobile phone

  2. An electronic means of navigation, GPS navigation device with the GPX course file loaded on it, or a physical map (with the course marked on it) and compass

  3. A spare battery and charging cable for your means of navigation and mobile phone

  4. The issued GPS tracking unit

  5. Emergency food, chocolate bar or similar and your required food for the duration of the course

  6. Minimum 250ml of emergency drinking water plus your required fluids for the duration of the course

  7. A spare lightweight top, to be worn if stopped for a prolonged period of time

  8. A spare layer of warm clothing

  9. Money. Minimum £10 in cash and a bank card

  10. A reflective item on your external clothing. This can be a strip of reflective material on your running trainers etc. 

  11. A small torch or flashing light become with new / fully charged batteries

Bike:

  1. X 2 Spare inner tubes, a pump and tyre levers (Ensure your pump has the right connection for the inner tube valve).

  2. Start with X 2 standard size or larger full water bottles (to be consumed on course)

  3. Start with X 3 items of food such as banana, cereal bar, gel shots etc  (to be consumed on course)

  4. British standard approved cycle helmet

  5. A serviceable bike 

Support on the course:

Where stated on the course website information an emergency support pick up is available. A phone number will be issued as part of the pre-course instruction email. Please only use this if you require picking up and returning to your own transport if you can no longer countiune on the course.

Refunds:

  • Your hire fee is refundable (less online fees) up to 1 week before the hire date. Email adventure@geotracks.co.uk to request a refund. Please state your order number

Early retirement:

Please do not be a hero! If you can not complete the course and need to retire early then please do so.. You must also return your GPS tracker to the Drop off / Pick up point before you leave the course

Rules of the road

  • Whilst following a course on a public high way participants must adhere to the rules and regulations of the highway code

  • Participants may not move along the course in a group. A minimum of 2 meters distance must be adhered to at all times

  • Members of the public have right of way and participants must be polite and courteous at all times

Emergencies

  • For non-life-threatening emergencies, participants are to use the issued support phone number

  • As part of the information, email participants will receive a phone number for support / emergencies if there is no other alternative

  • If you see or become a major medical emergency then call 999

Toilets

  • There are no toilets specifically provided

  • Participants are to plan their own toilet routine

  • Geo Tracks Adventures takes no responsibility for the availability of toilets 

Conditions of Geo Tracks GPS Tracker hire

By hiring the GPS tracker to participate in the prescribed course you agree to:

  • The location of your issued GPS tracker being displayed on the public ‘Live tracking page’ as described in the above description

  • Photos and videos of you participating in the event being used for promotional purposes

  • Adhere to all the instructions as mentioned above in this ‘Instructions document’.

  • To return your issued GPS tracker 

  • Not to hold Votwo Events or Geo Tracks or their employees responsible for any injury and mishap that happens to you as a result of participating on the course

  • To adhere to the rules and regulations of the highway code whilst participating on the course

  • To adhere to all the instructions in this document and any specific event instructions as per the ‘further course instructions’ email
